| In
theory, conducting meetings over the Internet is a
great concept. You can save a bundle on business
travel and still keep far-flung clients and
employees engaged and up to speed. In practice,
however, Web hosting services like WebEx and
Microsoft Live Meeting cost a lot more than many
SMBs can pay. Plus, learning how to setup and use
one of these services can be an exercise in
frustration. |

GoToMeeting, a Web hosting service from Citrix
Online, the same people who brought you the
extraordinarily effective and simple GoToMyPC, a
program that lets you access your PC from any Web
browser. Citrix Online uses its technology to make
Web conferencing equally simple. |

to Brian Donahoo, senior vice-president of products
and services at Citrix Online, the goal behind
GoToMeeting was to design a Web conferencing service
that didn't require any customer training and was
affordable enough to use every day. "Existing Web
conferencing products are not, widely adopted," says
Donahoo. |

"Customers often get frustrated and give up – either
because the service is too hard to set up or because
of sticker shock when the monthly bill arrives."

in a Web Conference? |
|
| Most
people use Web conferences for presentations,
product demonstrations (i.e., software) and
collaboration. A study done by the Yankee Group
notes that 89 percent of Web conferences are used
for application sharing, 12 percent for annotation
and four percent for white boarding. |

| "When it
comes to Web conferencing, less is more," says
Donohoo. "We've stripped out the non-essential bells
and whistles, making GoToMeeting easier to use. That
builds customer confidence because they master the
service quickly – and they use it more."

month for that $49 fee. No billing surprises. As any
small business owner can tell you, being able to
predict and manage your monthly expenses is a very

GoToMeeting session uses end-to-end 128-bit
encryption – the gold standard for security. It
means that no outside intruders and no internal
eavesdroppers. This security level comes standard –
you don't pay extra for it as you do with other Web
conferencing services. |

It Works |

| First,
you start by registering at the GoToMeeting Web site
and creating a user name and password. The setup
takes a few seconds as the GoToMeeting software
downloads onto your PC – no configuration required.
A couple more clicks to verify password info, and

| Meetings
are almost always difficult to organize, hard to
run, and boring to attend. The nascent
online-meeting experience is little better, but one
company is about to change that. Just as e-mail has
redefined the way businesspeople communicate, the
new GoToMeeting service from Citrix Online may
change the way we meet. |
|
|
|
|
| Citrix
has long been known for its support of remote-access
applications. With its acquisition of ExpertCity
(subsequently renamed Citrix Online), the company
has fortified this reputation. ExpertCity was famous
for its GoToMyPC remote-access software. Now, under
the Citrix banner, it has parlayed this expertise to
create an online meeting service-and a very
appealing one at that. |

|
|
|
GoToMeeting is offered as "all-you-can-meet"
service. Once you pay the monthly subscription, you
can use the service as often as you want, as long as
you want. What if meetings stretch on for hours? No
problem. GoToMeeting won't care, although your
colleagues might. |
|
|
|
|
| To use
GoToMeeting you must first download a 1.5MB
application from the company's Web site. On our test
laptops, the program downloaded and installed
easily; it does not even require an administrator
account on your PC. |
|
|
|
|
| Citrix
has made it extremely easy to start a meeting. You
can click a taskbar button or a desktop shortcut, go
to the GoToMeeting Web site, or click on a special
button that has been affixed to Microsoft Outlook.
Once you schedule a meeting, the software makes it
easy to send out e-mail invitations to your
prospective attendees, who need only click on a Web
address to join in. Once the attendees arrive, you
can press a well-marked button on the GoToMeeting
control panel to begin transmitting your screen
contents to all participants. |

|
|
| Before
your audience members can take part in your meeting,
they have to download the software, too, and with
that same software, they can do almost everything
that you can. You can invite any attendee to
contribute keyboard input to your presentation, or
you can enable participants to give presentations
from their computers. Of course, this can happen
only with your permission. After all, it's your
meeting. |
|
|
|
|
| Unless
your presentation is extremely informative, you will
have to complement your presentation with a phone
call. You can set up a conference call on your
company's PBX system, or you can use GoToMeeting's
service. |
|
|
| All you
need to do for this service is have all of your
attendees call a phone number in central Iowa and
enter a meeting code. The only charge is that you
and your participants entail is the long-distance
call. |
|
|
|
|
| In
addition to telephone communication, attendees can
also chat with the group as a whole or with
individual members. Perhaps fittingly, the software
enables organizers to avoid distractions by
prohibiting attendees from chatting with each other.
|
|
|
|
|
| Citrix
has equipped GoToMeeting with some impressive
security features, including 128-bit AES encryption.
Also, Citrix maintains that the service works
painlessly with existing corporate firewalls.
|
|
|
|
|
| The
sweet spot that Citrix is aiming for with
GoToMeeting is the business presentation, where
presenters and their audiences can potentially save
huge amounts in travel costs and time. But that is
not the only application; GoToMeeting could be
similarly useful for training and tech-support
applications. Indeed, this service may be useful
even in face-to-face meetings where a group might
have plenty of Wi-Fi laptops, but no projector.

|
|
|
GoToMeeting is not quite perfect. Even over a
broadband connection (we used DSL), there is a 3- to
6-second delay between the time a presenter changes
a slide and when the change occurs for the audience.
As a result, any fancy transition or animation
effects in a PowerPoint presentation will be lost.
Also, GoToMeeting will not transmit any audio data.
That will have to be handled over the phone line.

entry-level version of GoToMeeting is available for
$69 per month for each meeting organizer. (Note: The
